Box of Hope is a Hong Kong-registered charity with the aim to educate Hong Kong’s schoolchildren on the importance of giving and to give children in extreme poverty a chance to experience the joy of receiving gifts.
Every year, Box of Hope collects over 30,000 boxes of practical items, educational gifts and toys, packed by Hong Kong’s schoolchildren. The boxes are sorted by volunteers and distributed via its charity partners to children in need in Hong Kong and other places across Asia.
After 12 years of operations, Box of Hope is well recognized in Hong Kong. Like many small organizations, it faces significant challenges and operational bottlenecks that inhibit the organization from expanding its goals and scaling its impact, including the need to timely share information with its stakeholders; and the challenge of capturing and utilizing data to measure impact. Moreover, the Enterprise Resource Planning (ERP) database used by Box of Hope to manage its day-to-day operations was inefficient and unable to handle its increasingly complex tasks.
In order to tackle these problems, our team has improved its digital processes and information systems by building out a scalable database and automation solutions that are both powerful and user-friendly into a coherent information system architecture. The new digital processes and tools are able to access and utilize data for day-to-day operations. Automated systems are implemented to minimize the efforts and time contributed in manual processes, which not only improve the efficiency of the entire operations, but also improve communications of managers with the schools and donors outreach.
